Coef Studio Ltd (“Coef”, “we”, “us”) is the data controller for the personal data described in this notice.

Enquiries. When you use the contact form we collect your name, email address, company name (optional) and the content of your message.

Correspondence. If you email us directly, we hold your email address and the content of that correspondence.

Project information. Where you instruct us, we hold the information you send us for the work — drawings, specifications, correspondence and the contact details of the people involved.

Technical data. Our hosting provider keeps standard server logs, including IP address, browser type and the pages requested, to keep the site running and secure.

We do not collect special category data and we do not ask for it. Please do not send it to us.

This website sets no cookies. There is no analytics, no advertising or social media tracking, and no profiling of any kind.

If that changes, this notice will be updated and your consent will be requested before any non-essential cookie is set.

• Responding to enquiries and preparing quotations — steps taken at your request before entering a contract, and our legitimate interest in responding to enquiries about our services.
• Carrying out work you have instructed — performance of our contract with you.
• Accounting, VAT and company records — compliance with our legal obligations.
• Keeping a record of the advice we have given — our legitimate interest in maintaining professional records and in establishing or defending legal claims.

We do not sell personal data, and we do not share it for marketing. We use the following providers, who process data on our instructions:

• Vercel — website hosting
• Supabase — storage of enquiries submitted through the contact form
• Resend — delivery of enquiry notification emails
• Microsoft 365 — email, correspondence and project file storage
• FreeAgent — invoicing and accounting records

Some of these providers are based outside the UK. Where personal data is transferred, it is protected by UK adequacy regulations or by standard contractual clauses with the UK addendum.

We may also share data where the law requires it, or with our insurers and professional advisers where a claim is made or threatened.

• Enquiries that do not become work — up to 12 months, then deleted.
• Client and project records, including correspondence and reports — six years from completion of the work, which matches our company, VAT and contract record-keeping obligations.
• Server logs — kept by our hosting provider for a short period for security purposes.

Under UK data protection law you have the right to ask us for a copy of your personal data, to have it corrected or erased, to restrict or object to how we use it, and to receive it in a portable format. Where we rely on legitimate interests, you can object at any time.
